Mason CD Administrative and Accounting Assistant Position
Position Description
The Mason Conservation District seeks an Administrative & Accounting Assistant to join our team. This position supports the District’s accounting function as well as provides administrative support to the full team.
Essential Duties and Responsibilities
Accounting/Financial
- Verifies accuracy and seeks approval of incoming invoices as well as enters invoices into the accounting system
- Prepares accounts payable for approval as well as prepares vouchers for payment
- Assists in verifying purchases are in compliance with District policy and any applicable laws
- Reconciles monthly VISA statement, ensuring that all charges have backup documentation
- Files paid accounts payable invoices
- Updates the fuel usage workbook monthly
- Prepares monthly blank mileage logs for each District vehicle
- Prepares monthly mileage adjustments based on mileage logs
- Reviews approved timecards and checks for accuracy prior to preparing payroll
- Prepares payroll for review as well as submits the payroll file to the bank
- Prepares and submits the federal 941 payments as well as the PERS payments
- Assists the Finance & Admin Mgr. in preparation of quarterly payroll taxes as well as the year end W-2 process as needed
- Prepare accounts receivable invoices from prior approved vouchers, including gathering the required backup documentation.
- Submit accounts receivable invoices to agencies as requested
- Receives incoming checks and processes them for deposit by Executive Director
- Pulls paid accounts receivable invoices for Finance & Admin Mgr. to receive payment in the accounting system
- Files paid accounts receivable invoices
- Other related duties as requested or assigned
Administrative
- Receive and verify the accuracy of incoming deliveries
- Answer incoming telephone calls and evaluate, direct, or resolve concerns
- Prepare and maintain records for retention based on the state schedule
- Assists District staff in maintaining filing systems
- Maintain inventory of office supplies and alert Executive Director to extraordinary purchase requests
- Maintain inventory of District vehicles, including maintenance records
- Maintain inventory of the District small and attractive assets
- Maintain operation of office equipment and interface with service providers
- Other related duties as requested or assigned
- Assist in coordinating with landlord for building maintenance
Required Qualifications
• One (1) year of experience in a similar position
Compensation
Type: Regular, benefits, FLSA non-exempt, Half-time, 0.50 FTE (20 hours per week)
Note: This position is supported by and contingent on available grant funding.
Pay Range: $23.30 per hour to $27.69 per hour
Benefits: Mason Conservation District provides a comprehensive benefits package including the following:
• Vacation accrual at eight (8) hours pro-rated, per month and increases based on years of service
• Sick leave accrual at eight (8) hours pro-rated per month
• Twelve (12) holidays per year, which includes one (1) personal holiday
• Participation in the Washington State Public Employees Retirement System (PERS)
• Current coverage of 100% of employee and 90% of dependent health care premiums
